These terms explain how your organisation and its people may use VedaForce, our software for staff records, attendance, leave, loans, payroll and recruitment. By signing up, logging in or using the VedaForce website or mobile app, you agree to these terms. If you are accepting them for an organisation, you confirm that you are allowed to do so.
Who these terms apply to
- Your organisation: the college, hospital, company or other employer that subscribes to VedaForce and sets it up for its staff.
- Users: the HR team, managers and employees your organisation gives a login to, on the web or in the app.
- Visitors: anyone who browses this website or asks us for a demo.
Your account and login
- Keep your login details private and do not share your account. You are responsible for what is done through it.
- Your organisation decides who gets a login and what each role can see and approve. It can switch a login off at any time.
- Tell your HR team, or us, straight away if you think someone else has used your account.
Your organisation's data
- The staff, attendance, leave, salary and other records your organisation puts into VedaForce belong to your organisation.
- We use that data only to run, secure, support and improve the service for your organisation, as described in our Privacy Policy.
- Your organisation is responsible for the accuracy of the data it enters and for having the right to use it, including telling employees how their data is used and getting any consent the law requires.
Attendance, location and photos
- When your organisation turns them on, app punches can record a selfie and the phone's location, and staff on outside duty can send outside-campus requests.
- Your organisation chooses these settings and should explain them to its staff. The phone asks the user's permission before the camera or location is used.
- Punches from biometric machines reach VedaForce as times and machine user IDs set up by your organisation.
Payroll and statutory figures
- VedaForce works out salaries, leave balances, PF, ESIC, professional tax, TDS and similar figures from the rules, rates and records your organisation sets up.
- Please review payslips, registers and returns before you pay salaries or file them. VedaForce is a tool to help you; it is not legal, tax or accounting advice.
Acceptable use
You must not:
- try to get into accounts, data or parts of the service you are not allowed to use;
- upload anything unlawful, harmful or that you have no right to share, or upload viruses or harmful code;
- copy, resell, reverse engineer or overload the service, or use bots to scrape it;
- use VedaForce to track or monitor people in a way the law does not allow.
Fees and payment
Prices, billing periods and payment terms are set out in your organisation's quote, order or agreement with us. If payment is overdue, we may limit access after giving notice.
Availability, support and changes
- We work hard to keep VedaForce available and secure, but we cannot promise that it will never be interrupted. We try to plan maintenance outside working hours and tell you in advance when we can.
- We keep improving VedaForce and may add, change or retire features. We will not remove something important your organisation relies on without reasonable notice.
Other services we connect to
VedaForce can work with biometric machines, email and SMS providers, maps, cloud storage and government portals. Those services have their own terms, and we are not responsible for how they work or for their downtime.
Our software and brand
VedaForce, its software, design, logos and content belong to us or our licensors. Your organisation gets the right to use the service for its own staff while its subscription is active. Nothing in these terms transfers ownership to you.
Suspension and ending the service
- We may suspend an account that breaks these terms or puts the service or other customers at risk. Where we can, we will tell you first.
- Your organisation can stop using VedaForce as set out in its agreement. Before the account closes, your organisation can ask us for an export of its data. After that we delete it as described in our Privacy Policy, unless the law requires us to keep it.
Limitation of liability
- We are not liable for indirect or consequential losses, such as lost profits, or for losses caused by wrong data entered into VedaForce or by figures that were not reviewed before use.
- Our total liability for any claim is limited to the fees your organisation paid us for the service in the twelve months before the claim, as far as the law allows.
Governing law and disputes
These terms are governed by the laws of India. We will first try to settle any disagreement by talking to each other. If that does not work, the courts at [City, State], India will have jurisdiction.
Changes to these terms
We may update these terms from time to time. The date at the top shows when they last changed. If a change is important, we will let your organisation know before it takes effect. Continuing to use VedaForce after that means you accept the updated terms.
